Everything depends on the type of your letter and your relationships with an addressee. If you write an email to someone you don’t know, you may go with something like this: “Might I take a minute of your time”. Instead of making it seem like a reminder, make it like a request or a plea. A reminder email is also meant to be a formal email. With this in mind, it would be necessary to be professional email with the structure of your email by clearly indicating the purpose of the email. You may also set a goal or an expectation for your recipient to consider.

Admit it… we’ve all done it. We craft a wonderful email that tells the recipient(s) to look at the enclosed or attached file, and then we send it… without the attachment. Outlook can help you avoid that email faux pas in a number of cases, and here’s how you do it…

In the File > Options area for Outlook, click on Mail and scroll down to Send Messages. Make sure that Warn me when I send a message that may be missing an attachment is selected:

Now, if you create an email using words in the body like attach, attached, attachment, or enclosed, and there is no attachment on the email, you will see the Attachment Reminder dialog box pop up:

I didn’t find a definitive list of all the words Outlook will scan for, but this is a good way to (often) avoid the embarrassment of having to follow up an email with another one that does include an attachment.

We are supposed to send an Email with an attachment in it and by the time we remember to attach we have sent the email!!! In response we get a reply from our superior, asking us where the attachment is, or that we have forgotten the attachment. Luckily Outlook13 warns us when it appears that we have forgotten to include an attachment in a message, as shown in the image below.

Once the warning dialog box AttachmentReminder appears, we are warned that we may have forgotten to attach a file. We have the choices to Don’tSend or SendAnyway. It’s up to us what we decide what to do. If we choose Don’tSend, we will have to attach the file and if we choose SendAnyway the mail will be sent without the attachment. This feature attempts to detect if we have forgotten an attachment to a very important document in our mail. It’s a useful function that comes quite handy but if we want to disable it or enable we must follow the procedure described below.

First of all we must open Outlook and select the File tab in order to move to the BackstageView. Once in BackstageView we select the category Options from the drop down menu as shown in the image below.

Once the OutlookOptions window appears we select the Mail section on the left side of the window as shown in the image below.

Once the Mail section is selected, we must scroll down to the SendMessages area using the scroll bar. At the bottom of the SendMessages area, we locate the command Warn Me When I Send A Message That May Be Missing An Attachment and we activate or deactivate the check box at the left of the command. That’s it!!!

From now on we will be warned or not every time we send a mail without an attachment.
